SHAREWAYS onboarding begins with your products and workflow. Both teams agree on the service scope before setting up the operating process and any interfaces needed for cooperation.
Who confirms the first order handoff?
SHAREWAYS onboarding is a joint review of the proposed workflow. Identify the contacts who can accept the data, approve changes and confirm release before live orders or stock are handed over.
Your team supplies the business inputs: SKU mapping, product restrictions, expected order profile, the current export method and the people authorized to change or cancel instructions.
SHAREWAYS reviews the operating scope: confirm which receiving, storage, handling and dispatch tasks can be accepted, how instructions will be received, and which evidence will acknowledge receipt or a handling exception.
Both teams agree the release conditions: the order reference and revision, required fields, duplicate handling, approval route, cutoff and the status update expected. Validate the agreed exchange method with representative, clearly fictional pilot records before live use.
Responsibility summary reviewed 21 October 2026. Operating terms, charges and update windows require written agreement.
Step 1: Review the Products
Share product descriptions, packaged weights and dimensions, inventory quantities and destination requirements. Identify installed batteries or other handling considerations at the start. Standalone batteries and food are excluded from the confirmed scope.
Step 2: Confirm the Commercial Scope
Agree on inbound transport, receiving, storage, labels, packaging, parcel shipping and any returns work. Confirm fees, responsibilities and exceptions in writing.
Step 3: Agree on Data Exchange
After cooperation is agreed, review how orders, stock information, tracking and return instructions will be exchanged. Tell us which store, marketplace or internal system you use. Any interface, file process or manual workflow must be confirmed for your specific setup.
This page does not claim an existing Shopify, WooCommerce, ERP or marketplace integration. It does not promise a public API, automatic synchronization or real-time updates.
Step 4: Validate the Workflow
Agree on checks for order receipt, labels, shipment status, inventory differences and returns instructions before expanding operations. Record the responsible contacts and escalation process.

Agree the exception process before connecting order flows
Before onboarding, document SKU identifiers, order fields, stock updates, shipping instructions and the people who approve exceptions. Specify how an incomplete address, unavailable item, cancellation request or return will be handled. Decide which information will be exchanged, how it will be checked and what confirms an order is ready for handling. A proposed store connection requires a scoped implementation review; this page does not mean a ready-made real-time Shopify API integration has already been verified. Fees, operating steps and any service expectations are confirmed in writing for the agreed setup.
What should be agreed before the first live order?
Confirm SKU and order data, address checks, stock and exception rules, dispatch information and returns responsibilities. Verify the agreed exchange method with representative test data before treating it as a live integration.
Service guide updated: . Update: workflow, scope and quotation checklist clarified.
Agree on order exceptions, tracking and returns before launch
Does SHAREWAYS already provide a ready-made real-time store API or automatic tracking feed?
No such existing integration or automatic feed has been verified in the publicly confirmed scope. Review the specific workflow, agree the exchange method and test it before live use. Do not interpret a general onboarding checklist as confirmation that an interface is already installed.
What should be agreed before connecting a store to SHAREWAYS?
Document the SKU mapping, order-release rules, stock authority, cancellation cutoff, shipment status fields, returns instructions, fees and escalation contacts. Then confirm a specific exchange method: an agreed file process, manual handoff or a separately reviewed interface. No existing real-time integration is claimed.
How should order exceptions and tracking be handled?
The proposed operating plan should identify who places an order on hold, who approves corrections and what confirms release. Agree on how carrier and tracking details will be returned, how missing updates are investigated and how duplicate submissions are prevented. These are decisions to confirm in writing, not published response-time guarantees.
Does a customer return immediately become sellable stock?
No automatic restocking is assumed. Agree on return identification, inspection evidence, condition criteria, approval and the resulting inventory status. A refund decision and release of physical stock are separate decisions.
How to coordinate orders before a store interface is verified
SHAREWAYS has not verified a ready-made real-time store API, automatic stock synchronization or automatic tracking feed in its publicly confirmed scope. Before live handling, agree a file or manual exchange method and validate the steps below with representative non-customer test data. This is an onboarding acceptance checklist, not a claim that a customer workflow is already running.
Step
Record or decision
Acceptance evidence to agree
1. Freeze the input
One unique order reference and revision, SKU mapping, quantity, required destination fields, packed-product restrictions and requested shipping service.
Both teams recognize the same version and know which required fields make it incomplete.
2. Acknowledge receipt
The agreed file location or channel, receiving contact and acknowledgement reference.
Acknowledgement means the order was received; it does not prove stock allocation or shipment.
3. Check and hold
Stock availability, SKU/address discrepancies and eligibility checks; named approver for corrections.
An unresolved order stays on hold. A changed file keeps the original order reference and a new revision.
4. Approve release once
Release instruction, approver and agreed cancellation or change cutoff.
Duplicate submissions do not become duplicate dispatch instructions. Late changes require explicit acceptance.
5. Return shipment status
Agreed status fields, carrier, tracking number when assigned and exception owner.
A tracking number is not itself carrier acceptance or final delivery. Missing or conflicting status is recorded for resolution.
6. Reconcile and close
Submitted, held, cancelled and dispatched references; stock differences and approved return instructions.
Every reference has an agreed state or an open exception; return-to-stock requires a separate approved decision.
Validate the handoff before expanding order volume
Use fictional, clearly marked pilot records for a normal order, a duplicate reference, missing stock, an address correction, a cancellation after release and a missing tracking update. Agree the expected state before each pilot and retain its result. Do not submit a pilot to the live inquiry form or send a customer parcel to test this checklist.
Agree an approved exchange channel and access before sharing actual delivery details. Do not put passwords, payment data or customer personal details into the public quote request. Review inquiry data handling.
Operational checklist reviewed 20 October 2026. Exchange frequency, response windows, cutoffs and charges require a written project-specific agreement.
Agree the next action when an order cannot proceed
Before a live order handoff, agree an exception register with the order reference, revision, issue, current state, evidence, responsible contact, requested decision and release confirmation. The following is a proposed project checklist, not a description of an installed ticketing system or automatic integration.
Exception
Initial handling to agree
Evidence needed before the next step
Duplicate order or revised file
Hold the additional instruction against the same order reference; compare the revision and previous release.
The approved version and one release instruction are identified. Receipt of a second file does not authorize a second dispatch.
Stock shortage or SKU mismatch
Identify the affected line and proposed hold. Ask the customer whether to wait, correct or cancel; do not infer permission to substitute.
Quantity, item identifier and the approved instruction match the final release record.
Address correction or shipping-service change
Confirm the changed fields through the agreed authorized channel and check whether release has already occurred.
Accepted revision, eligibility and any changed charge are confirmed before release. A message alone does not prove an intercept was accepted.
Cancellation after release
Check the current physical and carrier status; ask the responsible contact whether a stop is still possible.
Actual accepted outcome is recorded. No cancellation, recall or refund success is promised while the status is unresolved.
Missing or conflicting tracking
Link the order to the assigned carrier and tracking reference when available; distinguish label creation, carrier acceptance and delivery.
The source and time of the latest status, investigation contact and next agreed update are recorded. No invented tracking number or delivery event fills a gap.
Return or suspected battery damage
Link the return to its inspection and approved disposition; keep uncertain stock separate from an approved sellable quantity. Refer a suspected battery defect for appropriate review.
Condition evidence and authorized instruction are available. Inspection is not licensed repair or a product-safety certification; automatic restock is not assumed.
Check closure before expanding volume
Reconcile the submitted references against acknowledged, held, cancelled and dispatched states, plus each open exception. Agree the update frequency, cancellation cutoff, approver and escalation route in writing. An acknowledgement is not a dispatch event; a closed conversation is not proof that physical stock has been released.
Checklist editorial review: 20 October 2026. Project operating terms still require agreement; this page sets no new response-time or dispatch guarantee.
Prepare a small pilot before expanding operations
A pilot should have an agreed scope and a result to check, rather than an assumed automatic connection or an undocumented trial shipment. Download the blank pilot planning worksheet (TXT). Mark unknown items as “to confirm”; the worksheet contains no price, assumed volume, promised result or customer case.
1. Define the pilot inputs and release decision
Identify products, SKU and unit counts, packaging, requested tasks and the proposed exchange method. Agree the expected result, evidence and authorized release decision before goods are sent or live work starts.
2. Check receiving and stock acceptance
Agree expected identifiers and quantities, the counting basis, condition checks and what to hold if the records differ. Receiving a carton does not itself establish that its contents are accepted, saleable or released for dispatch.
3. Test the order handoff in an approved channel
Use clearly fictional records for a normal order, duplicate reference, stock shortage, correction, cancellation after release and a missing tracking update. Agree the expected state first and record each outcome. Do not use the live public inquiry form or send customer parcels to test this worksheet.
4. Keep exceptions open until the next step is authorized
Record the reference, revision, issue, evidence, current state, responsible contact, requested approval and accepted release instruction. Agree the update window; this worksheet creates no default response or resolution SLA.
5. Reconcile remaining stock before ending a pilot
List remaining and held stock, open orders and returns, any unresolved charges, the proposed collection or transfer method, and the evidence required for handoff. Ask which route and handling can be agreed. Free transfer, a refund, disposal authority or automatic stock release must not be assumed.
These are preparation steps for a project-specific review, not proof of an installed system or a successful customer pilot. Detailed records and actual delivery information belong in an approved operating channel. For an initial enquiry, use a short business summary in the official quote form; eligibility, scope, charges and operating terms require written agreement.
