What to Prepare for a China-to-US Fulfillment Quote
A useful quote starts with accurate product, packaging, quantity, destination and workflow information. The checklist below helps a US brand, ecommerce business or importer describe an actual shipment.
Operational guide · 14 October 2026
Describe the product
Provide the product name, materials, intended use and SKU list. State whether batteries are installed in the product and identify any special handling requirement. Do not send food, external or standalone batteries under the published service scope.
Measure the finished parcel
Provide weight including packaging and dimensions in centimetres. SHAREWAYS currently publishes a parcel weight scope greater than 0 and up to 22 kg. A parcel within that weight range still needs a size, commodity and route review. Do not quote only the product weight.
Separate inventory from outbound orders
Inbound carton quantity, pieces per carton, SKU quantity and monthly customer orders describe different things. Label each figure clearly. If the order volume is unknown, mark it unknown instead of estimating it as a confirmed requirement.
Choose the required work
- Inbound freight by air, ocean or express, subject to the agreed route.
- Receiving, counting and put-away instructions.
- Storage and inventory records.
- Labels, repacking and order dispatch.
- Returns inspection and authorized disposition.
Describe destinations and timing
Provide destination ZIP codes, planned shipment dates and any genuine deadline. Carrier eligibility, dispatch arrangements and transit estimates depend on the actual route. Do not assume a guaranteed delivery time before written confirmation.
Agree on data exchange
Specify the store, marketplace or internal system you use and the order information you can provide. Interfaces, file transfers and manual processes must be confirmed for your setup. This guide does not claim an existing public API or automatic integration.
Request clear commercial terms
Ask for the warehouse, currency, billing units, cost components, additional charges and quote validity. Provide a business contact and your real operating constraint so the response can address your requirements.
Submit the details
Use the official quote form or the published contact channels. Avoid including passwords, payment information or unrelated personal documents in an initial quote request.
Download a blank quote request brief
Download blank quote request brief (TXT). Fill the relevant lines and mark unknown details as “to confirm”. The brief covers inbound cargo, individual parcels, storage, batteries, returns and store order handoff. It contains no prices or assumed order volume.
Use the relevant details in the quote form or your agreed contact channel. A prepared brief is not a shipping booking; eligibility, charges and operating instructions still need written confirmation.
Discuss your shipment

This operational guide describes how to prepare a review. Current rates, availability and scope must be confirmed in a written quote. Internal rate sheets and customer information are not published here.
Prepare a comparable proposal and a practical first-shipment plan
Use this optional workbook when you are comparing providers or preparing your first shipment. It keeps your product facts, quote questions, pilot checks and handoff decisions in one place. The five worksheets contain empty answer cells for your own requirements and the supplier's dated responses. They contain no sample prices, customer records, supplier rankings or pre-approved results.

1. Compare suppliers using the same shipment
In Compare suppliers, enter one shared buying assumption for each row before collecting candidate responses. Use the same SKU, order volume, destination ZIP, storage period and service scope. Record a document or public source beside each response. A missing response remains unknown: a low headline shipping price is not a completed comparison of receiving, storage, handling, surcharges and minimum commitments. Use the buyer decision column to record the reason for your choice, rather than an automatic winner.
2. Describe the first SKUs and record acceptance
In First SKU intake, use a column for each SKU. Record product type, first-shipment quantity, cartons, measured packed weight and all three outer dimensions with explicit units. Shipment quantity and the weight of one shipping parcel are separate fields. Add installed-battery information, packaging and labeling requirements, the requested inspection scope and product-document references. Keep acceptance pending until the provider has reviewed the actual product and route. Preserve its dated acceptance or hold reference; an internal inventory system does not establish that a product or integration is accepted.
3. Resolve quote and invoice differences line by line
In Fee reconciliation, keep the quoted amount, invoice amount, currency and charge basis separate. Add quote and invoice IDs, version, service period and document references. Check whether a line is charged per unit, parcel, carton, order, volume, weight or storage period. Record fuel, residential or remote-area adjustments, handling, packaging, returns and minimum fees where they apply. Leave unknown amounts blank and record credits separately. Ask for the reason and written resolution of a difference before treating it as agreed. The workbook does not calculate a rate or replace the provider's current written quote and the applicable carrier terms.
4. Agree the pilot decision before the first dispatch
In Pilot acceptance, define the lot and agreed test for receiving count, labels, parcel measurements, inventory visibility, order-file or integration tests, dispatch, tracking handoff and exceptions. Record the actual start and end with timezone, observed result and evidence reference. Use the decision field to distinguish planned, pass, hold, retest and not applicable. An empty result is not a pass. Agree the required evidence and service clock before the test rather than applying an assumed universal time guarantee after it.
5. Confirm responsibility before releasing inventory
In Before dispatch, record the responsible party and document reference for product acceptance, the receiving address and booking reference, freight-to-warehouse handoff, customs responsibility, quote validity, fees, service cutoffs, order workflow, returns authorization and exception handling. Include the claim procedure and inventory-exit arrangements agreed with the parties. Track unresolved items in the open-action column. The worksheet records decisions; filling it in does not by itself form a contract or authorize a shipment.
Keep personal customer and order information in your controlled system. Use non-personal SKU and operating requirements for an initial enquiry, and agree a secure channel before sharing supporting business documents. The workbook is optional: if you have one SKU, start with its product type, packed weight and dimensions, shipment quantity and destination ZIP. Request a quote with your available shipment details.
