How to Prepare a US Returns Handling Instruction
Returns handling begins with an agreed inspection scope and the owner’s instruction. Inspection, repacking, restocking and other disposition decisions should be recorded separately.
Operational guide · 14 October 2026
Identify the returned goods
Provide the original order or return reference, SKU, expected quantity and known reason for return. Record product units separately from cartons and pallets. A carrier delivery status alone does not prove the item has been inspected.
Define the inspection scope
Agree on the visible condition checks and evidence needed before the return arrives. Inspection does not automatically include testing, repair or refurbishment. Work requiring professional qualifications is outside the published service scope.
Record findings before deciding
| Stage | Record |
|---|---|
| Received | Return reference, SKU and actual quantity. |
| Inspected | Agreed condition findings and permitted evidence. |
| Decision pending | Owner instruction needed, with responsible contact. |
| Action authorized | Repack, label, restock or another specifically agreed action. |
| Closed | Work completed, stock change and agreed charges. |
Keep authorization explicit
Agree who can authorize relabeling, repacking, restocking or other disposition. Do not interpret a return shipment as blanket authorization to dispose of goods. Confirm the work, costs and data record before acting.
Assess parcel and product eligibility
Use packed weight and dimensions when goods will be dispatched again. The published parcel scope is greater than 0 and up to 22 kg including packaging. Installed batteries require route review; food and standalone or external batteries are excluded.
Agree on stock and order records
Confirm how received quantities, inspection results and stock changes will be exchanged. An agreed workflow may use files or other reviewed processes; no unverified automatic integration is promised.
Prepare a written request
- List the return references and SKUs.
- State expected quantities and known issues.
- Define inspection and evidence requirements.
- Identify the decision-maker and permitted actions.
- Confirm fees, timing expectations and exception handling.
Discuss your actual return process
Describe the products and required work through the official quote form. This guide does not present a customer success case or guarantee recovery value, turnaround time or eligibility.
